Setting Up User Roles

Intelliprint has predefined user roles that provide different levels of access and privileges to its users. These roles are:

  • Standard User: This role allows users to send mail, view mail submitted from their account, select premium postage, and view returned mail they have submitted.
  • Team Leader: This role provides all privileges of a standard user, and allows the user to view all items submitted or returned by users of their team (apart from items marked confidential).
  • Team Admin: This role provides all privileges of a Team Leader, and allows the user to add users to a team.
  • Admin: This role provides all privileges of a Standard User, Team Leader, and Team Admin, and allows the user to view all mail on the account (apart from items marked confidential) and set up new teams.
  • Owner Account: This role has all the privileges of the other roles and can manage billing, change billing details, and add new admins/leaders.

Security Tip

Always assign the appropriate role based on the principle of "least privilege" – give users only the access they need to perform their tasks, no more and no less.

Assigning Roles to Users

To assign roles to users, navigate to the "Users" page in the Settings tab. From there, you can create new users and assign them the appropriate role. You can also assign users to teams, which provide a group of users with special permissions that can be added or revoked from all members of a team.

The process for assigning roles is as follows:

  1. Go to the "Settings" tab and click on "Users"
  2. Click "New" to add a new user
  3. Enter the user's email address
  4. Select the appropriate role from the dropdown menu
  5. Assign the user to a team, if applicable
  6. Click "Invite" to send an invitation to the user

Managing Permissions for Teams

Teams are a great solution for grouping users and setting default options for all members of each team. This allows you to efficiently manage permissions for groups of users with similar roles or responsibilities.

To add and manage a team:

  1. Navigate to the "Users" page
  2. Scroll down to the "Teams" section and click the "New" button
  3. Give your team a name
  4. Click "Manage" to change the available default settings for this team

In the team management interface, you can set default options such as:

  • Default letterhead
  • Default postage class
  • Default envelope type
  • Print quality settings
  • Splitting preferences
  • And more

Note that assigning backgrounds to a team is handled from the "Backgrounds" tab.

Handling Confidential Items

Intelliprint allows users to mark mail items as confidential. When an item is marked as confidential, it is only visible to the user who created it and to account owners. This provides an additional layer of security for sensitive communications.

To mark an item as confidential:

  1. When creating a mail item, look for the "Confidential" checkbox
  2. Select this option to mark the item as confidential
  3. Complete and submit your mail item as usual

Confidential items will still be processed normally, but they will only be visible in the print history to the user who created them and to account owners.
