Fixing PDF address and upload issues

Common problems when uploading a PDF with an address already positioned on it — window alignment, splitting multi-letter files, and print quality.

These are the most common issues when uploading a PDF that already has the recipient's address positioned on it, rather than passing recipients separately.

Address not showing through the envelope window

  • Check the position — for a standard C5 window envelope, place the address 20mm from the left edge and 45mm from the top, inside a window roughly 90mm wide by 40mm tall. Keep the critical text within an 85mm × 35mm safe zone.
  • Make sure the address sits on the first page of the letter — later pages aren't checked.
  • Confirm which side the window is on. Most envelopes use a left window by default; if yours uses a right window, this needs to be set explicitly.

A multi-letter PDF isn't splitting correctly

If you're uploading one PDF containing many letters, Intelliprint can split it either by a repeating phrase (wherever it appears, e.g. "Dear") or by a fixed page count per letter.

  • Phrase matching is case-sensitive — "Dear" won't match "dear".
  • Check the phrase exists as real, selectable text in the PDF and not as part of a scanned image — image-based text can't be searched.
  • If splitting by page count, make sure the total page count divides evenly by the number of pages you've set per letter.
  • Use 300 DPI for any images in your design.
  • Embed fonts in the PDF rather than relying on system fonts being available at print time.
  • Export from your design tool at its highest available quality setting.
  • Send a single test print before running a full batch.
